The first thing you need to do before contacting a limousine company is to talk with your friends. Make sure your parents and their parents are involved on the set budget. This will help your friends understand there is no backing out once the deposit is paid.

Set a budget for each person that wants to go with you. For example, $75 a piece would give you a budget of $600 for 8 people in a Lincoln limousine or a budget of $1500 for 20 people in a party bus. Once you have the budget set, call the limousine service (preferably us) and get the price quote of the vehicle. If the quote is higher than your budget, make a few more calls! The larger the bus/limo and the more time needed, the more it will cost. There is normally a 6 hour minimum on all prom vehicles.

What Is The Best Vehicle For My Prom?

prom limoThe best vehicle is up to you and your friends! The way to calculate the vehicle you need to fit everyone comfortably is to remember to add 2 to your final count. That will give you some room between each person and also keep in mind the size of all your friends. Ford tells us that a town car will seat 4 plus the driver but from experience it will only seat 2-3 comfortably.  An SUV will seat 7, but only 6 comfortably. A regular limousine is kinda tricky! Most seat 8 adults, but there are some that are made to seat 10 adults because they are longer. So if you have 10 passengers it is best to go see the vehicle in person.

If the limo company tells you that it fits 10, they will not be lying to you, just going off the manufacturers recommendations. The SUV limousines, like the Hummer, Escalade or Excursion hold up to 18 comfortably so its always a safe bet for 10 or more passengers. You will arrive in style with any of these vehicles. Party Bus

A party bus is a bus that has been overhauled on the inside to include awesome amenities! prom party busThe seats have been turned into limo style so you do not  face forwards but face each other. Normally there is a dance pole, disco lights and flat screen TVs to play videos. There should also be an auxiliary or bluetooth to play your music list off you Ipad or cell phone! But not all party buses are created the same! For example, if someone gets an old bus and completely renovates the inside, you still have an old engine! The last thing you need is to break down on prom night! Read the fine terms.

Make arrangements to go see the bus, what do the outside panels of the bus look like? If they have waves in the side panels then the bus is old. They will start the bus for you and dazzle you will everything on the inside, but while they are doing that, you check to see if the AC is blowing cold. Listen to the engine from the outside for strange noises while the AC is running. Look for loose wires along the walls of the bus and where the driver sits, if you dont trust it, walk away. Prom night should not consist of trying to get out of a bus that is on fire!

Other Prom Factors

If you have found a vehicle that you really want, you need to know if it has insurance just in case something happens. Although you do not need a CDL to drive all the vehicles, you MUST have a passenger endorsement on your license. You as a consumer should be able to ask if the driver has the correct licensing because if you get pulled over, you will be made to get off the bus and then what? Legal vehicles have the DOT (dept of transportation) number on the side, be sure to take down that number to verify with DOT that it is up to date. Motor carrier registration (TxDMV Number) is available for seven calendar days, 90 days, one year or two years. A motor carrier certificate of registration is non-transferable between carriers.

Get All Information In Writing!

All information that you agree to should be placed in writing, although verbal agreements are legal in Texas, to protect yourself, it should be in writing. Before you pay any money, you will need the price of the vehicle, any and all fees, will this include gratuity for the driver and will there be taxes? Explain that you do not want to come out of pocket for anything else. Get it in writing even an email confirmation will work. How Much Should I Pay For A Limo?

payingRenting a limousine can add class and luxury to any event. Renting a party bus can make it a serious night on the town. But how do you know if you are paying the right amount? Or even getting a good deal? As we have all learned, the cheapest is not always the best. For example, a standard 6-8 person limousine starts around $65-$100 an hour and usually has a minimum of hours to rent. The cheaper quotes then start attaching different “fees” to make up for the cheaper hourly price.

Yes “fees” for example, a fuel charge or surcharge, usually around 20% of your total. Some charge taxes and some do not. Some make it mandatory for a tip to the driver and some make it where you tip the driver according to the services you get. The State of Texas has this to say about taxes on limousine services:

Separately stated charges for limousine or shuttle service are not taxable if the primary purpose is to provide transportation from one location to another. Limousine rental is taxable if the primary intent is to provide a tour of points of interest along a route. A lump-sum charge to a customer for a package including banquet facility rental with food and limousine service is taxable. 

limo timeThe clock should start when the limo service arrives at your location, but if you are outside of their immediate pick up area some companies start the rental clock when the limousine leaves the garage. Typically you can also expect to pay for the limo while it’s waiting for you, even when you’re inside enjoying your event. This is because although you are not using the vehicle, the driver is still waiting for you and he is paid hourly.

Most companies allow guests to bring their own alcohol, but the State of Texas does not allow the limo services todrunk limo guy serve you alcohol. Underage drinking is never legal inside a limousine. During Prom Season, no backpacks or bottled water is allowed inside the limousine and the drinks are provided to you. If anyone underage is caught drinking, the driver will be held responsible.

Only a few allow smoking in the vehicle but usually charge a cleaning fee. If smoking is allowed, the person renting the limousine will be charged if the vehicle is soiled or damaged.

Each vehicle has a maximum occupancy rating but it is always better to rent something a little bigger than what the rating is because the ratings include the driver. The standard 10-person Lincoln limousine actually holds up to 8 people in the back and 2 (including the driver) up front. The larger limousines like the Hummer, Excursion or Escalade state they have an occupancy of 20 but only 18 can fit comfortably.

Any Additional Costs?

Some companies charge a per-stop fee ($15-$30 per stop, although it varies) if there are multiple pick-up or drop-off locations. Ask in advance if this applies.
Most rental rates do not include the driver’s tip, which should be anywhere from 10-20 percent of the cost, given in cash at the end. Some hourly rentals include an automatic 20 percent gratuity — so check to be sure before tipping.
When gas costs soars, many limousine companies added a 5-10 percent fuel surcharge for longer trips.
Hourly charges are usually calculated in 15-minute increments, and overtime charges are usually much higher than the standard rate, starting around $130-$300 or more an hour. It can be better to book a limo for a flat fee for the day than to run the risk of running over on a rental.

Ask specific questions about the vehicle you’re renting. If you can, go see the vehicle before booking it, or check out photos online. Most limousine companies are local or regional operations. Get price quotes from several companies and check for complains with the Better Business Bureau. Always check the reviews, these are people that have used the services and are telling you all about them.
